Information we use

We use your name, email, billing and delivery details, order history, payment status and correspondence to process orders and provide support. We also process the dental impressions and scans needed to make your appliance. Dental information may be special-category health data and requires an additional legal condition for its use.

Why we use it

We use order details to perform our contract with you, maintain records where legally required, and handle enquiries and disputes. Necessary security and fraud prevention may rely on legitimate interests. Optional marketing and replacement reminders use your consent. You can unsubscribe without affecting order or service messages.

Scans and retention

Your scans are stored on our on-site server and only staff can access them. All copies are deleted seven years after your last order. Contact us if you want to discuss access to or deletion of your information. Some records may need to be retained to meet legal obligations or resolve a dispute.

Service providers

We use Hostinger for website and email hosting, WooCommerce to operate the shop, payment providers to process payments, and Royal Mail for delivery. Payment information is handled by the payment provider you choose at checkout. We do not display or store your full card details in our order records. Relevant providers receive the information necessary to perform their service.

Retainer Refresh Plan

If you choose the optional Retainer Refresh Plan, we use relevant customer, order and plan information to administer future replacements. Stripe processes payment information and may retain a reusable payment method for future Refresh payments. Retainer.shop does not need to store your full card details itself.

Stripe and its secure customer-portal functionality are used for relevant payment-method and cancellation management. We use your email address to send advance-notice and other transactional messages needed to administer the plan.

If you tell us about significant tooth movement, relevant dental treatment or another dental change, we use that information to decide whether manufacture from the previous scan should be blocked while the appropriate next step is determined.

Where we use a supported Trustpilot invitation service, necessary contact and order details may be used to invite honest feedback. Provider privacy notices explain their own processing. We will explain any additional marketing or analytics services before enabling them.

Your rights

Depending on the circumstances, you may have rights to access and correct your information, request erasure or restriction, object to processing, receive portable data, and withdraw consent. Withdrawal does not affect processing that was lawful before withdrawal. Contact us using the email above. You can also complain to the Information Commissioner’s Office.
